Club Assembly 05/09

Steve said Phil had called in sick so we would be having a spontaneous Assembly. 

Ralph asked members to consider buying blocks of tickets as a staff recognition and to volunteer to make it a success.  When asked, Pat said our financial situation was 'excellent', which is heartening though not too specific.  Neil and Steve have been discussing the fact that by not running the golf tournament last year we have on money dedicated for a donation to Polio Plus and they are suggesting to the Board, for later confirmation by the Club, that a donation of $100.00 per member be made out of funds.  If any member has questions or concerns, let the Board know.  There will be a vote soon.

Ron said his Committee had been receiving an increased number of requests for funding recently, most of which did not qualify and all of which are hard to judge as to merit and there is a feeling that they have been 'drifting' without standards to follow.  They have developed a draft of a Terms of Reference with which to guide the Committee in awarding grants.  The Committee can grant in amonts up to $2,500.00 and anything above that is brought to the Club with a recommendation to be voted on.

TERMS OF REFERENCE

 

The following are the general terms of reference for determining what projects will receive funds or other forms of support available from the Committee whether within the single project funding limits of the Committee ($2,500.00) or by way of recommendation to the Club for larger amounts.

 

  1. The project should be situate within the Town of Midland and related area or provide significant benefit to the citizens of the same.
  2. Preferred projects would be one of a kind, or seed money, of a capital nature and not annual operating funding or annual campaigns.
  3. Preferred projects would be those initiated by the Club or Committee and include participation by the Club or its members.
  4. Preferred projects would supply direct help, support or services to individuals or groups and not just support fund raising by other groups and organizations.
  5. Preferred projects will not be able to exist or proceed without our help.

 

These guidelines are to be generally followed, but it is recognized that exceptions will occur under certain circumstances. In the case of an exception care should be taken to ensure the reasons are compelling and the use of limited resources does not impair the ability of the Committee to deal with preferred projects.

 

Each year the Committee and the Club should encourage the exploration of ideas for projects that are initiated by the Club rather than waiting to be asked by others.

 

 The Committee is still working with the Salvation Army on some requests.

Rob asked if the $2,500.00 ceiling should be raised to recognize inflation but Ron thought it was a reasonable break point and he feels the Committee should be coming to the Club for larger amounts.

 

Mike Proulx reported that invoices are out to all the sponsors of Music in the Park and some, including Tripp's, have already paid.  The groups are all booked, starting on June 14.  During June and July the music starts at 7 and goes to 9 and through August it will go from 6 - 8.

 

Jamie Tripp said he's still working on a College of Knowledge and it has been suggested that it be broken into a couple of sessions to run before regular meetings.  Information will be posted on Club Runner
