The Club has put in a tender of for the showgates this year which will be for one day on the 28th October.

CORRESPONDENCE
The Club has received a letter from the State Trustees regarding the Estate of Francis Allan Brown. In Mr Brown’s will, he has left the proceeds of his estate of approximately $165,000 to be divided equally between 5 organisations including the Rotary Club of Warrnambool. I will keep you informed how this goes.
FINANCE
The Club is in a sound financial position and on budget.

Board agreed to transfer $10,000 from the projects account to the term deposit to get the benefit of some interest.
CLUB SERVICE
At the CFA BBQ, an OHS document prepared by Louise Keogh and signed by participants went missing. If anyone knows where this document is, would you please let me know. Thanks.
INTERNATIONAL
Days for Girls: Svet Lineham and Rachel Furnell have agreed to be our champions for the project. Svet has already purchased some material and will make up a sample of the product.
There are a number of grant opportunities available for projects which are not accessible to our Club as we are not registered as a charity. By law, Rotary Clubs are not allowed to be registered as charities. However, there are a number of Rotary Clubs which have legally registered as a charity by setting up a subsidiary. Board has agreed that this will be investigated further.
FOUNDATION
Ann Donaldson will be encouraging members to put your spare $1 and $2 coins into a cylinder to help save towards a $100 donation to Foundation. Ann will be providing the cylinders.
MEMBERSHIP
The Membership Satisfaction survey was discussed and Brian will be presenting the finds to members.
Board agreed that to help encourage members to bring along ‘potential members’ to our Club, there will be no meal charge for up to three visits. This is specific to potential members and not friends or family members. This will be reviewed by Board as a measure in six months time.
YOUTH
Form 3. You might remember that this form was introduced last year and there was quite a bit of push back from clubs regarding the wording. This Form has now been finalised and is to be used by all hosting clubs. The form is to be completed by host parents, counsellors, and any members who host students overnight. The completed forms will be followed up by Rachel Furnell and our Youth Protection Officer, Gerry Delaney, who will be checking with referees and keeping the forms on file.
Assistance Payment to Host Families: This has now been set up and host families will receive $120 per month to help cover the extra costs of hosting an international student. This by no way covers the full cost but provides some help to families.
The exchange students have arrived. Janick Palm from Denmark is attending Warrnambool College and his counsellor is Paul Forbes.
Lea Constantine from France is attending Emmanuel College and her counsellor is Phillip Ritchie.
Members are encouraged to invite students to any activities the club may be organising and on any outings they think may be of interest to these students.
RYLA planning is underway and application forms will be available soon.
Rotaract: There was a meeting on Wednesday night with all clubs to discuss the future of Rotaract in Warrnambool. Some great ideas were generated, and President Michael will be able to provide information.
NSYF: Applicant Emily Reid has been notified that she has been accepted into NYSF. The next step for Emily is an Orientation Day in October and some fundraising for the other half of the NYSF year.
PUBLIC IMAGE
Thanks to Delia Jenkins who will fill in as scribe for Karina Wood while Karina is on LOA.
George McLeod has offered to do the bulletin until the end of November while Karina is on leave. Thank you George.
GENERAL BUSINESS
Drought Relief Fundraising for Farmers
Board has agreed to support this initiative and work on a BBQ at the village green with other Rotary Clubs. We will see what is raised and then make a decision on whether to donate more funds to the appeal.
Quilt Show
The quilt show is now called the The Southern Right Creative Festival and will include more crafts. The Club has agreed in principle to volunteer for this event.
Camp Quality
At a date in October, depending on the program availability, our club will be hosting a dinner at the Surfside Caravan Park for the 12-15 workers and others who have supported us with the Camp Quality Cabin.
Maintenance is needed on the cabin which is mostly external. It should take 1-2 days. Richard will keep us informed regarding a working bee.
Volunteer Grants
This grant is available for NFP organisations to help with their running expenses. Grant maximum is $5,000 and there is a very large list of items we can apply for. Last year we were successful in getting just over $3,000 and we purchased a new laptop and printer. This year we intend to include in the grant application, fuel costs which can be quite high, especially for the international and youth programs. Any ideas for further items, please let me know asap, as I would like to have the application in before the end of the months.
