MEETING RESPONSIBILITIES

Cashier
-
Arrive at weekly meeting by approximately 7:00am.

Ready/prepare the Reception Table with cash box/float, Weekly Reconciliation Sheet
-
Greet members and sell 50/50 tickets; have name tags available
-
Collect meeting/meal charge from each attendee (cash or punch card), sell punch cards, etc.
-
Reconcile all sales including the Meeting Fines and 50/50 Draw revenue, finalize weekly control sheet
-
Prepare funds for weekly bank deposit and deliver them to the Treasurer or their delegate.

Assist with clean up when the meeting has concluded

Sergeant-At-Arms
-
Arrive at the meeting by 7:00am
-
Place four flags in holder (Left, Alberta; Right, USA; Center, Canada; Leaning Forward, Rotary) and Club Banner and Podium Theme Flag.
-
Assist/ensure any necessary room set up or technology needs (AV) of the Program/Presenter are addressed.
-
Lead (or delegate) singing of the National Anthem and deliver or ask someone to deliver the Land Acknowledgement
-
Determine and advise the President/Meeting Chair of the table meal order when requested.

Administer Fines – Birthdays, Anniversaries, Fines and Happy/Sad Bucks
-
Conduct 50/50 Draw.

Assist with clean up when the meeting has concluded.

Arrive at the meeting by 7:00am

Assist with setting up the room: putting the flags and banners up, making sure the seating arrangement is correct and that the food will be ready

Ensure that the technology is setup for any presentations

Ensure that the gift for the speaker is ready to present

Follow the agenda for the type of meeting (business or guest speaker)

Ensure that all members are able to participate in the meeting, if they wish
-
Help to make guests and speakers comfortable and welcome
-
Follow-up on any decisions made at the meeting

Assist with the cleanup at the conclusion of the meeting
