BOARD MEETING – General Minutes
July 2, 2019
Suffield Country Club – 4:45 pm
 
Meeting Called to Order 5:00 p.m.
Board Members Present: Gayle Demko, Gail Hanley, Richard Kisiel, Jon Kozloski, Jack Muska, Ken Pasco, Don Rawling, Scott Seabury
Club Members Present:None
 
Secretary’s Report:
Rotary Club Meeting Minutes of May 14, 2019 were approved, Jack so moved seconded by Dick.
Treasurer’s Report:
Jack provided the monthly financial report, with the following balance as of June 30, 2019:
Operations:     $1710
           The Board approved unanimously a motion by Jack, seconded by Scott, to accept the treasurer’s report.
 
Old Business:
  1. Paul Harris Award Ceremony – Dick will bring in a payment he had received –great success this year!
  2. Happy Dollars – 50% of money collected at the registration table for blue ticket ($1) should go to winners and 50% to operations.  If we have 20 people registered for dinners, $10 (50% of the $1 blue ticket) should go to the blue ticket winner.  Frank’s collection is split between the two side winners.  The budget was $300 short this year for guest meal payment and that 50% is needed to offset guest fees.
  3. Informative Brochure handout for Substance Abuse Treatment Services – Dick has received promise of funding of $250 each from the four banks in Suffield.  The brochures are scheduled to be mailed out in June thru the Selectman’s office although Dick notes a change to the brochure may delay mailing.
 
New Business:
  1. Meeting Location Update – Suffield by the River will welcome the Rotary back early; the new owners and Liz Sansom will work with our needs.  Sammy not hopeful about staying at Suffield CC .
  2. Weekly Meeting Format of first mtg of month-Business; second-Student of the Month (Board Mtg); third-speaker; fourth-social activity has been approved and will start in September.
  3. Budget—Membership Dues.  Due to the rising cost of food and tipping, a rise in dues is warranted.  There hasn’t been an increase for many years.  The Budget committee will assess and activate.
  4. Fundraiser - SOTG – Ken is BBQ chair and has calculated we will reduce the number of chickens from 800 to 750 this year; noting 110 chicken dinners go the senior housing. The price of the dinners has been $12; after discussion it was determined to have the price remain at that level.
  5. SOTG – Gayle will chair a booth on the Green for the Rotary to raise awareness about our club.  At the booth we will make pill disposal bags; sell the pewter Christmas ornaments that are remaining and handout Rotary literature.  We could also take orders for our 350th fundraiser of silver coins is that info is available (short lead time on this).
  6. Golf Tourney Update – to date there are 8 teams registered and Jon is holding committee meetings.

SUFFIELD ROTARY FOUNDATION MEETING
July 2, 2019

Secretary’s Report: Foundation Meeting Minutes of May 14, 2019 were approved previously.
 
Treasurer’s Report accepted with the following balance as of April 30, 2019:
Foundation:                                                $  23,514
Morgan Stanley-Managed Funds:                 $148,587
 
Old Business:
Sunrise Park Playscape – Jack Muska noted the Playscape will cost about $80,000 with additional funding needed for fencing and specialized mulch.  This cannot be a community build as the structure is made of mesh and concrete and there are major weight issues; the Rotary can assist with mulch spreading.  Dick suggested the Rotary furnish $20,000 and seek a District grant.
The walking trail should be a 2020 grant focus.  The Giving Committee will give consideration to a donation; the grant has been submitted to District.
 
New Business
  1. Fundraising and Service Project Suggestions – Gayle will send a list of ideas to the Board for their response
  2. MiniBus program has asked for Rotary support for the purchase of a ‘newer’ sedan to replace their badly worn one.  Board does not support this request to specifically fund this request.
 
Club Member Forum - No one from the club approached the Board
