Off-Site Meeting-November 29th at Animal Health Centre –LLC: A sign-up sheet will be passed around in November to confirm attendance.  You are welcome to invite a spouse or another guest to join us for that meeting.
 
Youth Exchange Survey: If you have not completing a Youth Exchange Survey, please make sure it is completed and returned to Dawn before the end of the meeting.
 
Social Event:  We are looking at a social event for this fall.  A Clue: Murder Mystery at the Museum.  The date has not been confirmed but we are looking at Saturday, November 17th.  It will cost $25/person and includes a supper.  It is a fundraiser for the Museum.  More information to follow once we get things finalized.
 
 Project Review:  Festival of Trees: Janine
Rotary’s fundraising for Haying in the 30’s began in 2011 with Susan McCulley, as she has referred several community members to Haying in the 30’s.  Rotarian and volunteers bake cookies and have a table at the Festival of Trees.  People donate, during the Festival of Trees event, in exchange for cookies, baking & hot chocolate.  Our goal is to raise awareness and funds for Haying in the 30’s.  We raise funds and the club donates $1000.
 Haying in the 30’s financially helps families/individuals who have cancer diagnosis.    One of the great aspects of this financial aid is that recipients have no stipulation on how the money is spent, whether travel, accommodation, food or whatever.
Approximately 64 hours goes into this project each year, which includes set-up & prep (25.5 hrs), volunteer shifts (36 hours) and clean-up (2.5).  It requires fairly strong club involvement to cover the shifts but is a success in raising awareness and funds.  Viability- there is a high level of volunteer hours for the return ($3000-donation).  Challenges-recruiting volunteers, other tables that may be selling baking, or other charitable organizations.
Club discussion included wanting to learn more about how many in our community have been helped so that info can  be shared with the community to show how their donation  is relevant to our community.  Could we find out how many have accessed /benefitted from Haying in the 30’s in our community, perhaps a visual map.  Setting up so donations over $20 can receive a tax receipt.
 
 
Project Review: Cash Raffle : Dawn
The Cash Raffle Draw began in about 1990 and has changed some over the years- such as the prizes and number of tickets sold.   Currently, we have 2-3 winners per month for a total of 27 draws, winning from $100-$2000.  The tickets are sold for $50.   We raise approx. $15000 and have a profit of approx. $7000.   The goal is to raise awareness for Rotary and raise funds for the club, which it is very successful in doing. 
 
Challenges have included some paper work that resulted in a short amount to sell tickets.  This should be remedied this year with the creation of additional bank accounts.  Selling of tickets can be difficult for some Rotarians, but in general we have been selling all or almost all of our tickets.  We are not at the point where we need to increase tickets sold.  Dawn is hoping that we can have all of our tickets sold this year by the Fair.  Phone numbers will be added to the list of people who have previously purchases tickets making it easier for those who are phoning their ticket purchasers.   The cost of printing the tickets has gone up dramatically and Dawn will be looking at some alternative print suppliers.
 
Sargent Report:  To bring to our awareness some of our past projects.  We used to have an Octoberfest.  If you don’t have a name tag on it, it will cost you a buck.
