The role and duties of the secretary of each club is critical. Typically, one person has been filling this responsibility. It is time, though, to consider breaking the responsibilities into smaller, more manageable duties. Members are asked to consider and step up and speak up. Needs include:
  • Weekly attendance/record keeping at the noon meeting. This includes notes for makeups and collecting fines for missed meetings.
  • Assisting the treasurer with the 50/50 raffle tickets at the noon meeting.
  • Taking meeting minutes. A Minute Minder form is available and a useful tool.
  • Putting minutes into the Clubrunner Bulletin and publishing. Requires training.
  • Monthly entering attendance into Clubrunner. Requires training.
  • Attending monthly board of directors meeting
  • Take board of director minutes and prepare, present for approval at the next meeting, and archive in Clubrunner. (Later requires training.)
  • Annually prepare and distribute dues statements for members. (It was done successfully this year electronically through Clubrunner.)
  • Ordering new member badges.
  • Ordering other club supplies as requested by the president.
  • Scanning correspondence and archiving in Clubrunner. Requires training.

>Olean Food Pantry  Shelving Mini Grant Mary Kay reported that we are expecting notice from the District 7090 Grant committee that Rotary International has released the funds and the work of the conditionally approved grants can begin. A committee will be needed to assist in the completion of the ordering details and assembly details. Mary Kay wrote the lion's share of the grant and President Patti completed and submitted it by the deadline. The project cost is$2783.32. The District is poised to match our contribution of $1391.66 to complete this project. *Grant monies are funded through OUR OWN contributions to the Rotary Foundation. A percentage is returned to the District after a 3 year lag. Our club has not accessed these funds in years and is positioned and energized now to make this an annual initiative. Doug Price and President Patti will attend the mandatory  District grant management training this fall for the 2018 grant year eligibility.
