Committee Description & Terms of Reference

Committee Chair / Director: Eric Bush

Reports to: Club President & Board of Directors

Avenue of Service: Club Service

Typical term: Recommended three-year term for continuity (where practicable)

Purpose

The Membership Committee is responsible for sustaining and growing a strong, engaged, and diverse club membership. It develops and implements a comprehensive plan to attract new members, introduce them effectively to Rotary, and retain existing members by keeping them informed, involved, and inspired. A healthy membership base is the foundation on which all of the club's service, fellowship, and Foundation work depends.

Key Responsibilities

  • Develop annual membership goals that support the club's overall strategic plan and report progress to the Board.
  • Identify, attract, and recruit prospective members who reflect the diversity of professions and demographics in the community.
  • Manage the membership process — proposing candidates, classification, Board approval, and induction of new members.
  • Orient and engage new members so they quickly understand Rotary and find a meaningful role in the club.
  • Lead retention efforts — monitoring attendance and engagement, and addressing concerns before members disengage.
  • Conduct periodic club assessments to identify strengths and gaps.

Typical Activities

  • Maintaining an up-to-date prospect pipeline and inviting guests to meetings and events.
  • Running new-member orientation and assigning mentors or sponsors to new Rotarians.
  • Tracking membership data (joins, resignations, net growth) and keeping the Secretary informed.
  • Organising membership drives, open houses, or 'bring a friend' events through the year.

Composition

Led by the Membership Chair/Director, ideally including several members on staggered terms to preserve knowledge. Members should be enthusiastic ambassadors for the club. The Chair serves on the Board and works closely with the President-Elect, Public Image Committee, and the Club Learning Facilitator.

Coordination & Reporting

  • Board of Directors: reports membership status and goal progress.
  • Public Image Committee: aligns recruitment messaging.
  • Learning Facilitator: partners on new-member orientation and education.
