Meeting Minutes
 
November 6, 2017
 
Call to Order
Mike Ruhl called to order the regular meeting of the Rotary Club of Guelph Wellington at 06:30 PM the Guelph Country Club.

Tonight's meeting dealt with who our Duck Race partners would be for 2017 - 2019. If you see discrepancies in my records, please let me know as soon as possible so that I can correct the record.
 
We had 11 groups submit proposals. In no particular order:
  1. Crime Stoppers Guelph Wellington (CSGW)
  2. Children's Foundation of Guelph and Wellington
  3. Wyndham House
  4. Family Counselling and Support Services for Guelph-Wellington (FCSSGW)
  5. Portage Ontario
  6. Victim Services Wellington
  7. Torchlight
  8. Kidsability Foundation
  9. Hopewell Homes
  10. St. Joseph's Health Centre Guelph
  11. Kerry's Place
To move things along it was suggested that some did not warrant a place in the Duck Race, but could be handled in a different manner.
 
Regarding each of the groups:
  • Portage Ontario
    1. This group is an unknown to the Club.
    2. It was suggested we invite to a meeting to understand their Mission and potentially provide funding through Community Service
    3. Moved & Seconded by Martin VanDam & Jim Moore
    4. Club passed the Motion

  • Crime Stoppers Guelph Wellington (CSGW)
    1. This group is known to the Club.
    2. Their request of a vehicle was not in the scope and it was suggested that the request be moved to Community Services to provide some assistance

  • Kerry's Place
    1. This group is an unknown to the Club.
    2. It was suggested we invite to a meeting to understand their Mission and potentially provide funding through Community Service

  • Victim Services Wellington
    1. This group is known to the Club.
    2. It was decided that their request for $2,350 (or some portion of that amount), for 5 wrist transmitters  (unit cost of $470),  should be sent to Community Services

  • Kidsability Foundation
    1. This group is known to the Club.
    2. The discussion centred on their past work and although their caus is good, we decided not to move forward with them as they have other major sponsors available to them. The club would be able to sponsor other smaller organizations

    4. Club passed the Motion
 
The following were shortlisted as potentials and a vote was taken using a rating system of 1 pt, 2 pt, 3 pt, 4 pt for 4th, 3rd, 2nd & 1st place votes – everyone voting on only 4 charities
  1. It was expected that all of the groups below could  /  should be expected to sell Duck Race tickets
  2. The final decision was Moved & Seconded by Martin VanDam & Peter Marshall

  • 41 pts - Hopewell Homes
    1. This group is known to the Club.
    2. Decision made to sponsor for $5,000 for each of 2018 & 2019
  •  
  • 32 pts - Children's Foundation of Guelph and Wellington
    1. This group is known to the Club.
    2. Decision made to sponsor for $5,000 for each of 2018 & 2019
  •  
  • 30 pts - Wyndham House
    1. This group is known to the Club.
    2. Decision made to sponsor for $5,000 for 2018
    3. The request for $5,000 of garden work in 2019 was pushed to Community Services as a 'Hands On' project and could be completed this Spring. No real cost to the club.
  •  
  • 25 pts - Family Counselling and Support Services for Guelph-Wellington (FCSSGW)
    1. This group is known to the Club.
    2. Decision made to sponsor for $3,750 for each of 2018 & 2019
  •  
  • 16 pts – Torchlight
    1. This group is known to the Club.
    2. Decision made to sponsor for $1,250 for each of 2018 & 2019
    3. This amount should come from Community Services
 
No decision was made on St. Joseph's Health Centre Guelph. It was felt that an amount of $5,000 perhaps year 2 might be reasonable.  If anyone has better notes on this issue, please help me correct the record.
