Williston-Richmond Rotary Grant Application – 2025 Instructions
Help us spend our Charity Budget money
 
Each year Rotary collects money from the community and then returns these funds back to the community as events and projects. This year (Jul 1 2024- Jun 30 2025), we have an extra $8,000 to spend above and beyond the $20,000 already identified as scholarships and community events. We plan to award these extra funds in $500-$1000 grants to 501(c)3 Nonprofits and Town Entities serving the Williston, Richmond and/or St. George VT communities with identified projects between Jul 1 2025-Jun 30 2026.

Application Process
 
The application process will commence Jan 2 2025, and all applications need to be received by April 15 2025. In the application creation stage, we will provide you with a Rotary mentor/champion who can provide you with guidance for your submittal. We can also provide you with a few of last year’s chosen grants upon request.
 
With this competitive process, the Grants & Donations Committee will review and rank all grant submittals for final Board approval by May 15 2025 and disperse the funds before Jun 30 2025.
Projects
 
Projects should be identifiable to Rotary and the community to maintain accountability and granted funds should only be used for the project scope we approved. Funds need to be spent AFTER funding is received from Rotary, and the project needs to be fully funded and completed by Apr 30, 2026. Documentation is important, so we expect you to keep dated receipts/invoices with the cost spent and to whom the product or service was purchased from.  
If you have a change in scope to the project, Rotary needs to re-approve the funds being spent. This is usually rare, but change does happen.
Reporting and Promoting Your Funded Project
 
Between Dec 2025 and Feb 2026, we expect that you will send a representative to one of our club’s weekly meetings as a speaker. The talk will be 20-30 minutes long including Q&A time. Usually, 5-10 minutes are spent on the specific project funded (successes, challenges, impact) and the rest of the time can be used to promote your organization more broadly. We love to hear about community engagement.  
 
A single page written report is expected by mid-May 2026 and we ask that you promote your project to the community with a letter to the editor and some social media postings (ex FPF, Facebook, Instagram).
