MINUTES OF THE BOARD MEETING  
March 12th, 2012

1.0              Call to order: 7:08 am

1.1              Attendance:  Isabelle Beane, Alan Schmelzel , John Dalton, Ron Baker, Nick Stebbing, Steve Witiuk,  Cleone Todgham – Nick Stebbing (late) Trudy Gallant (late)

2.0               Minutes : minutes from previous meeting approved as circulated – IB seconded by RB - approved

 3.0              Reports:

 3.1              President: re Friendship exchange – we have said we could accommodate up to 10 people if the trip is in June

                        100% of the club have now contributed to the Rotary Club Foundation
                        Club Assembly on April 4th – please be prepared to give a report

 3.2              President-elect: no report

 3.3              Secretary: Alan Schmelzel–

-          Attendance for January 68%

 

3.4              Treasurer: Steve has been helping Farah bringing the books up to date

 

 

3.5              Rotary Club of Port Moody Foundation:  

No report

 

 

4.0               Committee Reports:

 

4.1               Club Service: We have 5 Rotary shirts

Guess who is coming for dinner – trying to get a date that will work for the majority of members

Have met with incoming president for next year

 

 

4.2              Community Service: Cleone Todgham – Hannah House plaque is being prepared – they will be having an open house in the next month – looking to get pictures to put into the newsletter

                        Kid’s camp fundraiser in April with Berit – Thrifty Food Card month received $379 for last month

                        Suggestion from Steve – include the Thrifty cards in with the new membership cards

                        Nick working with the police for the camp in July

 

Ron re Innervision – Proposal for applying for a District Simplified Grant of approx. $4,500 to purchase household items for the two houses – the club would need to purchase the items and then hope that the grant is approved  - see list of items as attachment

Ron Baker moves that we spend the money as presented in his proposal up to $4,500 – see attachment – the club would adopt the project and the money be spent after June 1st , 2012 – we would apply for a District Simplified Grant to partially offset the costs.  Seconded by Isabelle.   Passed

 

4.3              International Service: Isabella Beane – Container project for South Africa – prepared a grant application with Coquitlam and Chilliwack clubs – each club will contribute $1,000 – applying for a matching District Grant

 

4.4              Membership: Two new members recently – Ally and Joye – 7 new members and 5 departures for a net of 2 for this year – Total of 41 members. Orland has recently resigned.

 

4.5              Youth: Nick Stebbing – last host for Henrietta has been found – Darryl starting in April

She leaves July 17th

 

4.6              Public Relations: John Dalton

 

4.7              Vocational Service: Steve Witiuk – the other clubs recommend that the dictionaries be distributed to Grade 4 and Grade 5 at the same time.  We have cheques from 2 of the clubs for their share of the cost. 

Ron proposes that we review the merits of the project.

 

4.8              Rotary Foundation: Nick Stebbing

-         Double Credit for Paul Harris account for month of March – Secretary will submit to RI Foundation the dollar amounts that have been collected year to date  after March 21st .

 

 

5.0              Old Business

5.1           Search for the Perfect Pint May 24th – liquor license has been applied for – Jason has been working on sponsorship – Al expects to make a profit of $18,000   We need to sell tickets.
