ROTARY EXECUTIVE MEETING – February 20, 2014

 

ATTENDANCE:   Theodora Agoawike, Pat Bowslaugh, Margaret Crofton,  Alf Hackenschmidt, George Horton, Lois Horton, Dayle Hughson, Diane Squair.

 

GUESTS:   Rob O’Connor and Rena Stackhouse – Provincial Exhibition 

 

George chaired this meeting

 

George welcomed everyone.   Rob and Rena were introduced.

 

George explained our role at the two Exhibitions and the Arabian Horse Show.

 

Dayle has the list of suggestions that our club has made over the past two years.  She spoke on these:

Programs – need a sign that tells guests they are FREE

Order of Go is always on request – we were asked how many we would need, and advised an approximate number.  We need a time we would have that.  This will be on the website and could be checked with a Smart Phone

The maps are hard to read – First Aid/Lost & Found/Family Room needs to be on there

Phone numbers would be very useful – Maintenance, Security.

Signage

Wheel chairs

Program should be earlier in booklet

The Security is very good

Trade Exhibitor list would be better if it was done alphabetically.

 

Pat expressed our appreciation for the opportunity to look after these services.

 

Rena thanked us for the suggestions and spoke on what has been prepared for this year’s Winter Fair:

There will be a new theme day.  

Monday is Canadian Forces in honour of Princess Patricia’s Light Infantry 100 Anniversary

Tuesday is 4H day

Wednesday is New Canadians Reaffirmation Day

Thursday is Kids Day – Fred Penner will perform at 2 p.m. and 6 p.m.

Friday is Cancer Awareness Day

Saturday is the Grand Prix

The Amphitheatre is to be used this year for theme day performances

They have other performers:  Amanda Stott, Razamataz, Peer Illusion and Doodles

Mini Chuck Wagon Races will be in the Arena

Westoba is providing lanyards for our Name Tags

The Family Room will have a Craft Corner – it is still in the Curling Club

The Learning Stage Show will have “The Making of a Super Dog”.

They have partnered with Free Jive Magazine – they will have a Winter Fair Edition with a Winter Fair Contest and a Price package with a Ballot Box at Guest Relations.

 

We asked if there was something we could do at Guest Relations for the Theme Days.

Lack of Wifi was mentioned and it was suggested that there could be Hot Spots in the building for this.

 

They may have the Imperial Experiences

Programs will be online with an insert in the Community News for the Sun and one edition of the Journal.

 

We asked if there was a coat rack for our coats – we should be able to hang them in the Pioneer Lounged.

 

They move to the Keystone on March 24.

 

George welcomed Rob to Brandon and thanked Rena and Rob for their information and attendance.

 

EXECUTIVE MEETING

 

On the agenda:

 

SELL, SELL, SELL!    

George reported that we had made a presentation at the Brandon Club on Tuesday and had sold one advertising package and 2 tickets

Diane reported that she and Bill have sold 3 packages

Dayle has the list of places and asked if anyone had contacts at the Brandon Flying Club or Paddock Drilling.  They were sponsors last year and should be approached again.

Pat will try to get ads from Larry Maguire, Reg Helwer, Toyota, Bullees Springs

 

George reported on the Beers that are to be sampled.

 

Dayle and George have ordered and paid for the Licence.

 

Dayle advised that the tickets have been sent to Winnipeg for approval.  The back of the tickets can’t be printed until we get sponsors.

 

Sheri has contacted most of the celebrity pourers.  Pat is to ask Reg Helwer.

 

Shilo has 3 commanders – Alf will find out who they are.

 

We need to purchase an ad in the Shilo Stag

 

There is a Shilo Service Club – Alf will find out who to contact, they might purchase tickets.  He will talk to the Shilo group.  We need to have a formal letter of invitation.

 

There was a question about providing drinks for the Celebrity Pourers.  They get free admission and the chili, but must buy tickets to take part in the tasting after they have done their shift.

 

Dayle passed around the Draft Budget for the Beer Tasting.

 

The Liquor Mart will start selling tickets 2 weeks ahead of the event.  We have purchased the licence for 350 people, but the venue can hold up to 500.

 

A question was asked about Rob’s association with this event.  He has researched and selected all the beer, and is being very helpful.

 

Alf suggested that we could ask the Brandon Club to assist with selling tickets.  Lois pointed out the good rapport we have with the noon club thanks to Dayle’s work with Nonny Cancade and Harvey Laluk.

 

A report was given on the glasses to be used.  Last year there was a lot of trouble with Regent and they didn’t even give us a quote this year.  We have ordered 350 from Summit and the cost will be covered in the price of the tickets.

 

The deadline for radio ads and Sponsorships is March 14.  Dayle will send invoices to anyone requires one.  Write this on the ad copy as you sell to the customer.

 

Dayle will go to Webber Printing – will ask them for a quote on printing and sponsorship.


Rotaract membership is down to 3 or 4, so they may need help with their sales.

 

Pat has placed a thank you in the Westman Journal and the Brandon Sun – the latter in a Thank You column for $129.00.  Journal will invoice and will send this to Pat.

 

Pat has lots of details for our proposed event and would like to speak on this on March 6.

 

Alf has done his pre PETS webinar – on February 19.  He needs copies of our previous goals and objectives.  Lois will get these to him.

There is more training and “Friends of Rotary” being proposed at the International level.  There is a push for youth and more e-based education.  

Alf is looking forward to attending the Russell PETS.

 

Yesterday (February 19), Alf was at the WCMA and met with the manager about our fund-raising suggestion.  He is going to take this to the Board.  There would be 25 to 30 events with a potential for $500 to $600 per night.

We would need a sign to promote our club.
