It was a very lively discussion which, hopefully, will help the club to move forward.
 
During the discussion Grahame Werrell raised a query in regard to club funds and Neil Jones has agreed at a meeting in January, to provide an up to date report.  Tony Lewis again reminded those present that there is a large amount of information in the Board minutes and well worth reading as the Board reports amongst other matters, reports on members who currently are not attending meetings for various reasons. These are available on Club runner and they include not only this year’s minutes but prior years as well.
 
As Peter Tomlinson discussed, please put your minds to work and come up with suggestions for a local project worthy of our support.  The project will need to be one that requires some manpower and not a large amount of funds.
 
Welcome to David O’Dwyer in the role as membership director. I have every confidence that he will excel in the role and both grow membership and help retain all our valuable Rotarian members.
 
Our club has been asked to sponsor a student to RYTS from 17th to 22nd Jan and we have a candidate.  The Board approved the payment last night.
 
 I hope you and your family have a very Merry Christmas and a safe and Happy New Year.   Look forward to seeing you all on the 11th January at the barefoot bowls – same venue as last time.

SECRETARY REPORT - Tony Lewis.
I make the following observation following last night (14 December) Club meeting forum
As members are well aware our Board meetings are usually held each month and it must be noted that ALL repeat ALL members are entitled to attend Board meetings. Adding to this, members are encouraged to raise any issue they feel needs discussion with the President, Secretary or any Director who can raise the issue at a Board meeting. In fact it is even better that the member attends the Board meeting and present directly to the Board. Something that has been advised of to members
There are many occasions that as Secretary over the years I have advised members of this opportunity but it is seldom, if ever, acted upon by members
Further to this, the minutes of every Board meeting and the AGM are posted in Club Runner, often within a few days of the meeting.
Thus ALL information for members to view is readily available.
Just go into Club Runner and under the heading "View Club Documents" you will easily find a myriad of information about current and past Club activities
Our Club records need updating, (14% of our members have none or limited DOB/Anniversary detail) yet when I send out a request through Rotarlight (the last being several weeks ago) I never get a response
Communication is a 2 way Street
As an example, the following are some statistics regarding some Emails I have sent out recently to all members
20 October - Request for volunteers for a Sausage Sizzle to be held 26 October 57% of recipients opened this Email
16 November - Auditors report as at 30 June 2021 76% of recipients opened this Email
3 December - Malaria Vaccine Newsletter 64% of recipients opened this Email
Thus for any concerns about the lack of "communication" and/or members not being "informed" of Club "goings on" it is the responsibility of members AND the Board to communicate with each other - thus the 2 way Street
If a member feels that there is an issue they have not been informed of, then don't just get flustered about it contact a Board member and discuss it with them and not just with other members
One cannot blame the Board and complain they are kept in the dark if they are doing exactly the same thing by not raising their concerns
This is my 6th and last time as Secretary of the Club and I can Categorically state that in all that time I have never, never known any information to be withheld from members
If any member would like to discuss anything stated above and/or any issue they may have, I encourage you to contact me, but with positive comment. I am not interested in nitpicking thus please be positive and where possible give a suggested solution not just reiterate a problem

How to double club membership in 60 minutes
David Higgs faced a challenge when he took over as the president of the Rotary Club of Henderson, Texas, USA. The club was down to less than 20 members and fewer than a dozen attended weekly meetings. That’s when he came up with a plan, including encouraging club members to make a big deal of their installation dinner and work together to invite 100 people to the event. FROM OUR MEETING 14 DECEMBER 2021

President Peter opened the meeting at 6.30 and welcomed all members.
We started with the raffle and heads and tails an PEAndrew won them both.
The meal was served and then Peter opened the meeting for discussion.
Bob called for volunteers for the sizzle on Christmas Eve and NYE. Bob discussed the options put forward by the hotel regarding meals. The first choice was that members have the options to choose one of 4 meals decided on by the club. The kitchen is then notified and the meals served after the meeting at 7.00. These meals can be different each week. The second option is to book and eat at the Bistro and then use the room upstairs for the meeting. Tea and coffee will be provided. A $5 fee will be payable by each member. Bob will send an email to all members regarding these options. The majority of replies will decide the choice. Bob would also like to trial one person at the door as many members will not undertake this duty. It was decided that a toast would only be made if there was a special occasion or a member wished to acknowledge something or someone personally. P Peter asked if anyone was using equipment from the Hub. Grahame Werrell asked if the Treasurer could report to the club regarding the budget, fundraising and expenditures. PP Neil Jones will do a presentation re this in January. Grahame also asked if the club could be notified when members take a leave of absence. It was pointed out that all details are in the Minutes on the website. David O’Dwyer asked why members are leaving and the need to ensure we keep current members. David offered to be the membership director. Peter Tomlinson said he thought it was important to have a greeter to make new people welcome . Neil Baldwin said it is a problem with projects not being finalised in a year with subsequent presidents having to take on the financial obligation associated with previous years.
Harold Busch said he considered that politics had crept into the club and it was having a detrimental effect on unity. There is no place in Rotary for internal politics. Peter addressed the issue of the associated financial obligations with the scooter program. Jim Hawkins stated that the original intention was not to provide unlimited resources to recipients but this now seems to be the case. Members agreed that we need to find new projects to make the club attractive to potential members and keep their interest.
The meeting was closed at 8.25.
