2017 Grant Management Seminars:

If your club wishes to participate in the District Grants Program for the 2017-2018 Rotary Year, attendance is required at a GMS. We suggest that 2 people from each club attend (one being the President Elect), if possible. Each GMS will run from 10:00 A.M. to 2:00 P.M. There is no fee to attend, and each session will include all materials and lunch. Following are the dates and locations for each session:

PLEASE READ THE FOLLOWING BEFORE YOU SUBMIT YOUR GRANT APPLICATION:

ALL GRANT APPLICATIONS must be signed and the signatures must appear on the Application AT THE TIME IT IS SUBMITTED.  You can do this by scanning the signature pages and emailing them separately with your completed form, OR you can scan your completed form with signatures showing.  When the application and signature pages are received by the District Office, the application will be assembled into a single document.  Applications that do not contain visible signatures will NOT be accepted for review by the District Grants Subcommittee.  If you have questions about this or need assistance, please contact the District Office at bigfish@uslink.net or the D5580 Administrative Secretary, Diane Collins, at 218.568.6027.

PROJECT BANK ACCOUNT:
A SEPARATE Bank Account must be established for your project, and all receipts and disbursements of funds must be handled through this account.  This is required so that your Grant funds are not intermingled with your club's general operational funds.  You must have copies of all documentation for funds received (copies of checks/deposit slips) and copies of all checks for disbursements.  These must be included when you submit your Final Report to the Grants Subcommittee.

RECEIVING YOUR FUNDS:
To receive your World Community Service (WCS) and District Simplified Grant (DSG) funds, your club must make written request for them and your club must show proof that you have raised the amount necessary for your club's match.  Generally this is done by providing a copy of the Bank Statement showing that the amount of your club's match has been deposited into your SEPARATE BANK ACCOUNT for this project.  A copy of this statement should be emailed to the Grants Subcommittee Chair and the District Treasurer.  Upon review, the Grants Chair will authorize the District Treasurer to release the funds for the District 5580 portion of the match.  Your club has one (1) year after the date the application is approved in which to make written request to the District for the funds.

FINAL REPORTS

If your club receives a Grant, a FINAL REPORT will be due upon completion of the project and must contain all financial information, including copies of receipts and payments.  All Final Report forms are located in the download section located on the left side of this page.  Failure to submit a Final Report can result in future funding being withheld by TRF to our District and to other clubs in our District who have applied for Grants.  It can also result in denial of additional grant monies to your club.  This is a stewardship responsibility and all clubs receiving grant awards are expected to comply with this requirement.  If you have questions concerning this policy or about completing your Final Report, please contact the Chair of the Grants Subcommittee or the District Office. 

In some cases, an Interim Report may also be required.  This is generally a simple written statement as to project status.  The Grants Subcommittee will contact your club if an Interim Report is needed.

FUNDING DEADLINES FOR APPROVED APPLICATIONS:

TRF Grants (also known as DDF Grants):  Payment requirements must be met within six (6) months of approval of the Grant by TRF.  For a paid Matching Grant, the project must be initiated within twelve (12) months of Grant approval.

District Simplified Grants (DSG):  Projects need to be completed within one (1) year of approval.  Funds can be held for up to one year, but the project needs to be completed by the one-year deadline.

World Community Service Grants (WCS)Funds can be held up to one (1) year and the project needs to be initiated within one (1) year of approval.

For ANY of the above matching grants:  If deadline dates are exceeded, the Matching Grant and project approval will be cancelled.
