DISTRICT 5050 INTERNAL DISTRICT FRIENDSHIP EXCHANGE
 
Dates: April 15, 16 & 17, 2016 
 
 
Hello District 5050 Rotarians:       
 
Let’s have some FUN!
 
A while ago it was suggested we have an internal District 5050 Friendship Exchange in order to offer an opportunity for Rotarians from both sides of the border to get to know each other better.  This will be a short 3 day (Friday, Saturday, Sunday) exchange between clubs in Canada and the US. 
 
Here’s how it will work: 

If your club wishes to participate, please e-mail me (Friendship Exchange Chair Danielle Mullen - travelady2@comcast.net) with:

     1)  Your club name.

     2    Appoint someone from your club to be the Exchange Chair and send me their name, phone number and e-mail.  Do the same for a backup person from your club.
 
     3)  Rotarians and their spouses/significant other are invited.  I would expect a maximum of 8 people for an exchange.  If you club wishes more, please let me know how many you would like to host.
 
     4)  The Exchange would be from Friday evening dinner to Sunday afternoon. 
 
     5)  You will have to schedule for both outbound and inbound.  Say La Conner and North Delta were exchanging – each club would have hosts and outbound participants.  
 
     6)  Just a reminder about Friendship Exchanges – all participants pay for their expenses for entrance fees, costs of activities, and meals.  Hosts provide lodging, breakfast and transportation to events.  Club may pick up any expenses they wish, but are not required to pay for things. 
 
I will draw and pair clubs and notify clubs so that they may plan their exchange.   Once I have the club Exchange contacts, I will coordinate with them and provide further information, applications for team members wishing to participate in the exchange, and sample forms etc. 
 
Each club’s Exchange chair and committee will be responsible for arranging hosts and planning the itinerary. 
 
Each club will provide their inbound guests with an itinerary showing who will be hosting them, including name, address, phone and e-mail of each host and a daily outline of what is planned.   This information should be provided at least two weeks prior to the exchange.  This will allow everyone to contact their hosts and get directions and ask any questions, etc.
 
Please be sure to provide me with a copy of your final club itinerary for your Exchange.
 
Remember our motto is Fun and Flexible.  Please show your guests around your area and show off your Rotary projects.  Share ideas, ask questions, maybe come up with a new grant or add clubs into existing projects, have great social gatherings with your club and maybe other clubs in your area that did not decide to host this time, or spend one on one time with your hosts and guests.  If this is a weekend where you have a club function or event on one of the days, include your guests – we love to help each other have successful events.  Maybe you will find an amazing community event that is happening this weekend that can be included. 
 
This is your time to get to know other Rotarians from around the district.  HAVE FUN.
