POLICY ON CLUB ARCHIVES

Ithaca Rotary Club Board of Directors
Whereas, archival records provide unique testimony to the achievements of an organization; and,
Whereas, the Ithaca Rotary Club was established in 1915 and has made significant contributions to the well-being of our community and the world at large; and,
Whereas, it is important to ensure that our legacy is collected, organized and made available for future generations; and
Whereas, the Board of Directors of the Ithaca Rotary Club is committed to keeping our Rotary Archives up-to-date and in good order; and
Whereas, Cornell University's Division of Rare and Manuscript Collections has agreed to permanently house the archival material of the Ithaca Rotary Club;
Therefore, be it resolved, that the following club records be sent to the Cornell archives on an annual basis
o Minutes of the meetings of the Board of Directors
o Membership Roster
o Weekly Newsletter
o Annual budget
o Records of service projects, reports, surveys, committee minutes, awards, publicity and other records which reflects the work of the club and which will provide an accurate and informative picture of our club's work; and which will ensure that our legacy is available to future generations
Further, be it resolved, that a club historian be appointed on annual basis by the Club President to carry out the intent of this resolution.
