Minutes from the June 19, 2023 Board Meeting

• Glenn discussed the financials with the board, noting that as we near the end of the fiscal year we have a net income for operations. The budget had projected a need to pull money from savings but this was not necessary. Glenn also noted there are remaining funds on the charitable side from the budgeted amount because not all the funds have been spent on the Mills park and Rotary park improvements.
• Glenn noted that a $25,000, 13-month, certificate of deposit had been opened with operational funds that the board had previously voted to move into a separate account. Due to timing the CD is not yet showing on the balance sheet.
• Glenn asked that the board consider opening a separate savings account for the remaining excess operational funds in order to earn interest. Mike Lougee made a motion to open the savings account, seconded by Anthony Martinez. After a vote all in favor, the motion passed. 
• Glenn discussed past due accounts, asking the board to look at members who may need to be written off and terminated from membership as the club will have to pay Rotary International dues for all members who are in ClubRunner on July 1. Glenn specifically brought up Amanda Disney and Tony Woodell. Amanda Disney has resigned from the club. Tony Woodell has not. Mike Howe made a motion, seconded by Anthony Martinez, to terminate Tony Woodell’s membership. After a vote all in favor, the motion passed. Dan Odell made a motion to write off the balances owed by Amanda Disney and Tony Woodell, seconded Anthony Martinez. After a vote all in favor, the motion passed.
• Kelly Ivanoff made a motion to approve the treasurer’s report, seconded by Anthony Martinez. Vote: all in favor. Motion passed.

• Membership is currently at 184 (183 Active + 1 Honorary).
• New members – Members in the application process: Wayne Burchett (Katie Burchett)- in two week comment period, Sara Trojan (Vickery Hall)- in two week comment period, Kristie Turner (Sabrina Kemper)- waiting on bio.
• Inductions- Tina Hoebelheinrich (Sabrina Kemper), Zulima Lopez (Sabrina Kemper), Anna Kinder (Sabrina Kemper), and Erik Lindamood (Phillip Rael)
• Resignations- Anna Studer (Mondays rough to attend).
• Membership deceased: None
• Leave of Absence Requests:
  Joe MacGuire has asked for an indefinite leave of absence from the club. After discussion it was determined that the club procedure only allows for up to a six month leave of absence and that the member can request another leave after the first six months if needed. A motion was made by Mike Lougee, seconded by Mike Howe to give Joe MacGuire a six month leave of absence. After a vote all in favor, the motion passed. Miamie Sleep is going to let Joe know about the leave of absence.
• Charlene Canada has asked to remain a Rotarian but not pay meal charges as she is not able to make Monday meetings. After discussion about fairness to all members, it was determined that Miamie Sleep would contact Charlene about the leave of absence policy.

• Dan Odell’s budget came up for approval. Mike Lougee made a motion to approve the budget, seconded by Anthony Martinez. After a vote all in favor, the motion passed.

• Jim Porter and Ross Schriftman discussed an Alzheimer’s fundraiser that they read about in the May issue of Rotary magazine. Mike Howe made a motion, seconded by Anthony Martinez, to approve moving forward with the fundraiser. After discussion, Jim and Ross were asked to come back next month with a written proposal with all of the details of how the fundraiser will operate. Motion tabled.
• Reverend Pierce had approached Miamie Sleep about donating funds for the Juneteenth event which occurred the day prior to this meeting. After discussion, the board agreed to ask him to make a request earlier next year.
• The Rotary Club of Fort Collins requested a donation of our club’s district grant money to fund a water project in Mexico. After discussion of the international projects our club is planning, the board agreed not to fund this project.
• The club’s exchange student, Alice, approached Miamie Sleep about supporting a project in Uganda. Alice’s grandma is working to establish a center to provide medical care, food, and necessities to seniors. Mike Lougee made a motion, seconded by Megan Bratton, that the club donate $2500 to support the project with the caveat that the board would prefer the funds go through a Rotary Club in Uganda and if not, the funds need to go to an established organization. After a vote all in favor, the motion passed.
• Signatory and debit card changes- Due to the upcoming new Rotary year and change of officers, both the signatories on the bank accounts as well as who has debit cards needs to be changed. Mike Lougee made a motion, seconded by Dan Odell to add Lori Klatt as a signer on the checking account and also give her a debit card, to remove Mike Howe as a signer on the account, and to remove Miamie Sleep from having a debit card. The motion was clarified as Miamie Sleep, Dan Odell, and Lori Klatt being signers on the account, with Lori Klatt receiving a debit card and Miamie Sleep no longer having a debit card. After a vote all in favor, the motion passed.

• Membership- Mike Lougee- Mike will be organizing a new member orientation in July.
• Youth Service- Sabrina Kemper- Three scholarships were awarded by the scholarship committee and the recipients will present at an upcoming meeting.
• Public Relations- Megan Bratton– Nothing to report.
• President Elect- Dan Odell – Dan received a request to donate to a gentleman who was recently diagnosed with cancer who is related to a club member. Katie Burchett let Dan know of other organizations whose mission that would fall specifically under.
• Service Projects- Anthony Martinez – The Adventure Park work project is being pushed down the road a bit due to an issue with the fence. Anthony asked Sabrina Kemper about possibly doing a work day in Mills assembling tables. The town of Mills is working on the park shelters and the Casper park project money has been paid.
• Foundation- Kelly Ivanoff- The annual fund goal was achieved! The club also has a new Paul Harris Fellow, Chad Bergman.
• At Large - Katie Burchett – Katie will continue on leading the club’s new member ambassador program.
• At Large- Morryah McCurdy- Not present.
• PEN/Club Admin- Lori Klatt- Nothing to report.
• Past President- Mike Howe- Nothing to report.

• Imagine DEI In 2021, Rotary strengthened its commitment to diversity, equity, and inclusion in order to celebrate each person’s contributions, advance equity, and create an inclusive culture where every member and participant knows they are valued to ensure that your club or district creates a collaborative, positive, and inclusive environment for everyone, and take action on DEI issues in your club, district, and community.
• Imagine Comfort and Care: Making people feel included and welcomed is the most powerful way we can engage members. Listen to your members to understand why they joined Rotary and what they expect and want from their experience and take the course in the Learning Center.
• Imagine Empowering Girls: Jones will continue the initiative of 2021-22 RI President Shekhar Mehta to encourage members to improve the health, well-being, education, and economic security of girls. Share your club’s projects on Rotary Showcase.
• Imagine Expanding Rotary’s Reach: Over the coming year, Jones will visit eight service projects, each one representing polio eradication or one of Rotary’s areas of focus. The tour will provide examples of how Rotary can make a measurable difference, while also introducing Rotary to new audiences and to potential partners and influencers.

• Club Socials are the last Thursday of each month from 5-7pm.
