New Club Policy on Personal Data Usage

To provide guidance for club members and administration on the usage of personal member data contained in Club Runner or any subsequent/replacement database.

 

As club members we have access to email addresses, phone numbers, and other contact and personal information for the entire club through Club Runner. This information is intended to be used for club-related business, and for personal social contacts among members. Business contacts would typically be for club committee or club event planning and notifications. Social contacts would typically be one on one, or small groups with a common interest or purpose. 

Club Runner also has a powerful group email capability built-in. The administrator and certain club members are able to generate email communications with the entire club at once. This capability should be used with discretion, and only for club-related business. Club related business includes but is not limited to the following: 

• Communications from or about Rotary International in its entirety. 

• Club meetings and events 

• Committee meeting notices 

• Club bulletin 

• Significant news regarding the club or club member(s). 

ClubRunner information should not be used for the following: 

• Any form of solicitation 

• Notifications of non-Rotary events 

• Political advocacy 

• Business promotion 

• Personal promotion 

Any questions regarding the appropriateness of usage should be directed to the club president or the club administrator.
